Job Description

Purpose: To review assigned accounts for timely payment on freight bills; clean up past due and work with customers to resolve any issues that may delay payments; if payment is not forthcoming, work with the shippers, consignees, third party payers, or Account Executives until payment is received. Responsibilities include the following. Other duties may be assigned:

  • Accounts are assigned and organized by Top Revenue Generating Account Collections Groups and must be reviewed and worked based on their past due aging brackets in accordance to their payment terms.
  • Solve problems that may delay payments by gathering the required paperwork, identifying root cause of issue, and working with other departments to resolve those issues.
  • Assist in proactive problem resolutions that will create a better customer service experience.
  • Provide invoices, run aging reports, and prepare excel spreadsheets along with providing other backup information to customers upon request
  • Review rate disputes, compare to tariffs, work with specialized rating, and billing department to resolve invoicing issues
  • Review and work customer 3rd party payer websites for billing disputes, missing documentation, and payment status.
  • Mediates between the sales force, service centers and customers related to accounts past due
  • Creates D&B credit reviews of customers, assists in credit limit setting, and monitoring accounts to stay within their limits
  • Participates in proactive team efforts to achieve departmental and company goals
  • Performance assessed by reducing past dues balances within the 90+ day bracket and as Manager directs the tram on specific clean up goals and targets from Corporate Leaders
  • Assist terminals with service holds, contact the customer to review past dues and work together to release the shipments through problem resolution

General guidance is provided with respect to overall objectives; work is independently assigned by specialist; operates within department policy guidelines using independent judgement in achieving assigned objectives.

Education/Experience Skills: High school diploma or general education degree (GED); prior transportation experience preferred.

  • One year related experience and/or training or equivalent combination of educations and experience. 1-6 years of Collections Experience is preferred
  • Highly motivated, self-driven individual accustomed to working within high-paced environment with specific target-oriented goals/Key-Performance Indicators

Language Skills: Strong written and verbal communication skills required.

  • Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization
  • Communicates internally with Interlines, within Accounting Department, Rates, Customer Service, and externally with Service Centers, Agents, Account Executives, and Customers

Technical Experience: Specific industry or position skills. Excel, Basic Math, and Telephone

  • Proficient personal computer skills including electronic mail, database, word processing, spreadsheets, etc.
  • Preferred knowledge of AS/400 and Microsoft Office

Office Skills: Typing, filing, and ten key skills Mathematical Skills: Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of USD and weight measurement, volume or distance Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
